How many times have you attended a meeting where the only thing that gets decided is the date of the next meeting? Or where one person dominates the meeting? Or the meeting is swamped with trivia or unrelated information?

It is a commonly held assumption that chairing a meeting is simply a matter of reading out the agenda – that is assuming there is an agenda and that the addenda actually covers the topics which are most pertinent to the matter in hand.

Chairing an effective meeting is a skill. One that is learnable. Outlined below are some simple principles; which if followed can result in focussed efficient meetings where everyone feels their opinion is valued and the job gets done.

Rule number 1 – there is no place for ego. As the Chair Person you are the facilitator, the most effective are those who listen, who use open ended questions to tease out reasoning and to involve others.

Rule 2 –. Be very clear about what is the purpose of the meeting? Do you want lots of ideas – to brainstorm possibilities, identify the implications of things already identified, broad-brush strokes or determining detail.

Rule 3 – Be prepared, create the agenda, have any supporting papers prepared and circulated in plenty of time so that others have time to read in advance

Rule 4 – – At the beginning of the meeting ensure that all parties are introduced, keep it snappy. Set out clearly what sort of introduction is required: name and role, or background information. Give the time scale e.g. “Please introduce yourself give a brief outline of your experience, no more than a minute.”

Rule 5 – Set explicit parameters for the meeting from the outset: “By the end of the meeting we need to have achieved ……. We are going to concentrate on principles today so save the specific detail for the moment”

Rule 6 – Have high expectations. If the meeting is due to start at 10.00am start on the dot who ever is there, they will get the message. Start late to accommodate late- comers and they will assume it is ok to come late. Be clear about end times too. If you have asked colleagues to read materials before the meeting don’t read them out. The next time you ask them to read beforehand they will assume it is not worth the effort. Have high expectations and stick to them.

Rule 7 -What ever decisions are agreed at the meeting MUST STAND. If you are unsure about their validity set up as a pilot with an end time agreed. Don’t put the decision up for grabs if you are not happy to run with the outcome. You can give a structure for decisions which make it absolutely clear what is open to negotiation and what is up not.

Rule 8 – Involve all parties. Ask questions to specific people if they are not taking an active part in the proceedings, “What do you think about…… Fred” If others are dominating value their contribution but involve others “ Thank you Bertha that’s very helpful, what do the rest of you think about what Bertha has offered?”

Rule 9 – Keep the meeting on track, identify how things will be recorded, summarise the discussion, identify points for action, who will do what, the time scale for action, how things will be monitored and by whom and when

Rule 10 – model good meeting behaviour and accept nothing less from colleagues. Taking a positive part in the activity, being generous with ideas, listening to others, no aggression, bullying. A healthy professional discussion where diversity of ideas and approaches are constructively used to create the best solution and not as personal attacks is the ideal.


If colleagues are going to give of their best they need to know that all contributions are valued, that they will get credit for their ideas and that the whole organisations is strengthened by the collective success rather than scoring points off one another. Out of the box thinking is a popular fad today. And yet, in order to leave a box, you have to realize that you are in one.

For example, the Indians who lived in the Grand Canyon believed the entire world was like the canyon. And so they didn’t try to find Kansas. This can be okay, if you’re in a beautiful place like the Grand Canyon.

It can be a rut, however, if you’re stuck in bad meetings.

For example, many leaders truly believe that it is normal to spend hours in a meeting engaged in pointless chit chat. Some believe that a meeting should be conducted like a Medieval court where the subjects listen while the boss talks. Others even believe that a group of people will be able to guess the purpose of a meeting without receiving a hint, like an agenda.

They may be like the VP who left his staff meeting after it had gone on for 30 minutes to ask his assistant, "Do you remember why I called this meeting?"

Or the manager who invited 30 software experts to a two-day meeting in Houston (actually a $50,000 argument) with no agenda because he didn't want to "spoil the spontaneity by imposing a structure."

Or the manager who was told to reduce the number of meetings that he held and responded by calling an all-day meeting to figure out how.

All of these executives are working inside a very small, very unproductive box.

Instead, they should climb out of the box and run their meetings like a business. They should:

1) Have a Plan.

Every meeting should have an agenda.

Your agenda should begin with a clear, complete statement of the result that you want. Begin by writing out your goal for the meeting. Then study it. Review it. And revise it until it reflects exactly what you want.

Let's play with a simple example. Suppose your goal was to reduce the budget. Now, is that what you really want to do? Would a better goal, for example, be something like: figure out how to reduce spending on utilities, or reduce the cost of materials, or maintain productivity without buying new equipment? Notice that these goals reduce the budget while producing results more valuable than simply making numbers smaller. Of course, your goal will depend upon your situation and what you want to accomplish.

Once your have the goal, then plan activities that will accomplish it. Most meetings are conducted using a discussion, which is the least effective process for reaching agreements and making decisions. Instead, use activities that equalize participation and lead to consensus.

2) Earn a Profit.

Most meetings produce a loss. That is, the cost of the meeting exceeds the value of what it produces.

Begin by estimating the value of the result that you want from your meeting. If the value seems low or uncertain, then ask yourself if a meeting is warranted. Perhaps, it would be more cost effective to write a memo, make a phone call, or visit the manager next door.

Then design your meeting so that you earn a profit. Estimate the cost by multiplying your budgeted labor rate by the number of participants multiplied by the length of the meeting. Add the costs of travel, services, and materials.

Finally, compare the cost with the value. If the cost, exceeds the value, change the scope of the meeting.

Staying in the box, may be okay for executives who want to play make-believe games with their time. But those leaders who want to be part of the future will run their meetings like a business.

Since the Federal Communications Commission has revised its Junk Fax Prevention Act of 2005, it is important that you are aware of the changes as they apply to your business. Some of the requirements on the sender are:

1. The sender must have an ‘established business relationship” with the recipient or have written consent from the recipient to sending all unsolicited advertising faxes.

2. Sender must have received this fax number voluntarily.

3. Receiver must have the right to opt-out of receiving future faxes.

4. The sender must honor all opt-outs within thirty days of receiving the communication.

Since the opt-out must be included, you must be sure to follow the following guidelines:

1. Opt-out must be clear. It must be on the first page of the fax.

2. The opt-out must not appear to be part of the advertising. A reasonable user must be able to determine that it is not advertising but a clear statement.

3. It must state the receiver can opt-out of future unsolicited advertisements. It clearly must state the sender must honor the opt-out within thirty days or they will be breaking the law.

Since the method of opt-out must be sent in the same fashion as stated in the unsolicited advertising, it is important that you, as the consumer, follow the letter of the rule. If you receive a fax, follow the directions if they require replying via fax. Only this method is covered under this law. Be sure to provide the required information. If you don’t follow the directions, the sender does not have to comply.

The rule when broken down in steps is easy to follow. It will help you eliminate more ‘junk’ information.

Know Your Competition:

Don't Waste Your Time With People Who Don't Matter:

When dealing with an organization, learn to prioritize. Don't waste your time explaining the secretary why your power tools are good. Save your time and energy for the decision maker. Exploit The Copycat Mentality:

Get Them To Agree:

When a person agrees to something you are saying, he subconsciously creates a positive frame of mind towards your offer.

Your Negotiating Strength Lies In Your Uniqueness:

If it is easy to find someone providing the same service or product that you provide, your negotiating potential is reduced. The more unique your offer, the greater negotiating powers you have. Always make a list of points which differentiate you from your rivals. Sometimes people buy things just because they are different from what most other people are using.

Use Time To Your Advantage:

Every one of us has been to a stock clearance sale. When the merchant runs out of time to sell his stock, his loses his pricing power.

Customers use this tactic on sellers and give a deadline to make a decision on price and terms. The person who is short of time is always at a disadvantage. Never allow yourself to be trapped in a "time limit" trap. Even when you are short of time, don't let it be known to the other person.

On the other hand, a person's urgency to get something done can work in your favor. If the other person is in a hurry to get things done, you can be assured that he will be more willing to bend than he would in a normal situation.

A word of caution - never exploit the other person's urgency to such an extent that it makes the deal grossly one sided. You may get what you want one time, but such deals have a negative impact on your reputation and future business. A win-win situation is always desired.

Price Is Not Everything - Terms Matter Too:

Terms of service are as important as the price itself. An example could be the loans and mortgage industry. Companies are able to charge higher interests rates than competitors by allowing flexible repayment options. Companies offering freebies with their products are compensating a higher price with friendlier terms. Create a balance between the price and the terms - when price is your weak point, offset it with better terms.

"The Policy" Tactic:

Since childhood, people are taught that rules are not to be broken. At subconscious level most of the people carry a perception that it is their duty to follow all rules. You will be surprised how easily people give in when they are told that the terms which they expecting are against the company policy. Salespersons always keep a printed price list with themselves. Those few black words printed on a white paper add authority to the salesperson's arguments and send the message that it is not within their power to alter the terms.

Keep Your Last Price For The Last:

Most buyers have a tendency to ask for a lower price than offered. If asked for "the last price", quote something more than the actual "last price" which you are willing to give. It doesn't matter if initially you offer a price 2% lower or 20% lower - buyers will ask for a further lower price in both cases.

The Final Gambit - Say "No":

Risk taking is an essential ingredient of success.

Agreeing to customers' terms all the time weakens your image in the market. Walk out of the deal if it doesn't seem profitable. If the customer gives in to your terms, you win a profitable deal. If you lose the customer, why repent? He wasn't a profitable customer anyway.

Customers aren’t calling. Nobody knows who you are. Or worse yet, they’re confusing you with your competition. Is it the writing? The design? The positioning? Here’s an unusual approach to closing in on why your ads aren’t working.

Get out all the ads you ran last year. Go ahead. Tear them out of your magazines or newspapers (if you’re lucky enough to have proof sheets, so much the better). Tear out your competitor’s ads too—as many as you can get your hands on. Next, fold the company names, addresses and logos out of view. If the company names are in the headlines block them off with paper and tape. Now tape them up to the wall, putting yours on top, your competitors’ below. Now back off, at least five feet. We’re going to gradually close in on the most effective ad in the group (hopefully one of yours).

The “Eye Test” View

First, and this is very important, don’t read any of them. Instead give them a quick, visual once over—what I call the “Eye Test.” Do your ads stand out? Or do they dissolve into the mush of sameness? Remember, your audience will see your ad, not in a vacuum but with dozens of competitive ads in the same or similar magazines or newspapers. If your ads stand out, you’re ahead by a length.

Step in, Feel the Image

Now move in a little closer to your ads. Close enough to get the feel or image they project Like a new salesperson who walks through the door, the first thing people react to is the overall image he or she projects. It’s the same with advertising. The colors, the design, the typeface should be consistent with the image of your company. A tennis shoe salesperson can wear a referee shirt and a whistle around his or her neck, a medical sales rep can’t. If your ads are in sync with the image of your company, you’re a step closer to your audience—and a sale.

Are You Projecting a Consistent Look?

Next comes an equally important aspect: consistency. All your ads should project the same image. No, they don’t have to have the same visual or the same headline. They should, however, look like they all come from the same company. After all, this image is your “familiar face” in the crowd. It’s also something you worked very hard to create. And it’s uniquely yours, no one else’s. Just like a good salesperson who finally got in the door to make that first sale. You wouldn’t dream of switching salespeople after that. In essence, you still have to answer the Question “what’s in it for me,” but now you have more room to do it. You can be flowery, you can be humorous, you can even get technical. But you must convince the reader that there is a strong benefit to be gained in choosing your product over the rest. If you‘ve done a good job, your ad goes the distance. What’s left is what all good salesmen do before they leave.

Close in and Ask for the Order!

For this, you’ll have to get in close to the bottom of your ad. Close enough to read your call to action, which should be short and direct, leaving no doubt in the reader’s mind what to do after reading the ad—call, clip a coupon, circle a bingo card. It should also be clear as to what the reader can expect to receive—more information, arrange a demo, have a salesperson call, get a trial sample. The reader shouldn’t have to get too close to read this either (don’t put this or your phone number in fine print). Remember, when a salesperson asks for the order or gives his or her phone number, it’s always loud and confident, never a whisper.

1. Avoid Trademarks that cannot be Registered. There is no point investing in a trademark that you can’t register. Registering the mark protects it from competitors, ensures your ownership rights in the mark and makes it easier to enforce your rights against copy cats. As you will read below, certain types of words are inherently poor choices for inclusion in a trademark because they cannot be registered.

2. Avoid Purely Descriptive Words. Words which describe the nature or quality of the goods or services sold with the mark are not permitted to be registered. Hence, the mark “Cold Beer” for use with malt beverages cannot be registered because it describes the actual product being sold. If registered, it would prevent anyone from using the terms Cold and Beer to describe their malt beverage.

3. Avoid Surnames. Surnames cannot be registered as trademarks. Hence the mark “Wilson Power Boats” is a poor choice for a trademark because the word Wilson is a surname (and the rest of the mark is descriptive).

4. Avoid Confusing Trademarks. A trademark which is confusingly similar to a registered trademark cannot be registered. Hence, the mark “Sun-Screen” cannot be registered if the trademark “Sun Screen” has already been registered for a similar type of product. A search of the US Trademarks Database (www.upto.gov.) and/or the Canadian Trademarks Database (www.cipo.gc.ca) is a good idea.

5. Avoid Generic Words in a Trademark. The goal is to select a trademark which is as unique and distinctive as possible; therefore, avoid generic words. Examples of generic terms include “green, superior, Canadian, American, deluxe, gold, premium, economy,” and a plethora of others. These words are generic and if you incorporate them into your trademark, you ensure that you blend into the crowd, not stand out in front of it. Geographic words fall into this category.

6. Avoid TLA’s (Three Letter Acronyms) and Numbers. IBM, ATT, and CNN are distinctive trademarks because their respective owners poured tens of millions of dollars into making the marks famous. Even a poor trademark can be made famous if you through enough money at it. But acronyms are intrinsically difficult to remember, while words, especially colorful words, are easily remembered. Hence “ELS Software Solutions” is not as memorable as “Volcanic Silicon.” Likewise, avoid using numbers in a trademark as they tend to be less memorable. Furthermore, there are a limited number of unused acronyms available, so there is an excellent chance that your TLA will be confused with someone else’s.

7. Do use invented words. Invented words are words which do not exist in any language, apart from your trademark. Examples include Spandex, Exxon, Kodak, Viagra, and several other famous trademarks. Invented words are a good choice for use as trademarks because they are not descriptive and they tend to be quite distinctive. You can create an invented word by simply combining parts of other words. For example, Microsoft is a combination of “Micro computer” and “software.”

8. Try animal or plant names. Animal and plant names tend to be quite memorable and, if used appropriately, can convey a good image while still being distinctive. Apple Computers is a good example, but other examples include Tiger Direct, Ford Mustang, and countless others.

Finally, make sure that the first word in your trademark is as distinctive as possible. It is often necessary to add descriptive words to the trademark in order to convey what is being sold or marketed in association with the mark. If generic words must be included then it is doubly important to ensure that the first word of the mark is as distinctive and unique as possible.
